Frequently Asked Questions
How long does it take to get an appointment for a sick child?
If you can be flexible about your time, you are almost guaranteed to see the doctor of your choice if he or she is at the office that day. We are able to do this because rather than have an assigned “sick doctor” like most practices, we alternate well-child and sick-child appointments during the day so that “same day” sick visits can be made with whatever doctor you choose rather than having patients have to see an assigned “sick doctor” that is unfamiliar with the patient.
How long does it take to get an appointment for a well child?
Well-child appointments are an important part of the medical care we provide and integral in forming the relationship between patient and pediatrician. Therefore, we work very hard to be sure that well child appointments are available, especially with infants and young children. Outside of sports and school physical season, it is rare to have to wait more than a week for a well-child appointment and often appointments are available same day or next day.
What if I want to talk to the doctor longer or I have concerns I’d like to bring up outside of a normal appointment?
A sick visit time slot is not designed to to discuss complex issues like mental health, special needs, social or learning disabilities, or complicated physical conditions. We have time slots available designated for “consults” and extended appointments if you let the front desk or your doctor know that you would like to discuss concerns that may take more time. If you are unsure, just ask!
Do your providers answer questions over the telephone?
While our knowledgable nursing staff can answer many of your questions, our pediatricians will return your phone calls and emails throughout the day between office visits, during lunch and before leaving for the day. Sometimes questions will require an appointment but we do our best to answer as much as possible over the phone or email to save you time.
For your convenience, non-urgent questions can be sent through the website quicklink on our homepage and will be responded to via secure email or phone call in 24 to 48 hours except on weekends.
How do you handle after hours telephone calls?
For non-life threatening medical emergencies outside of normal office hours, a physician is always on call and can be reached at (804) 257-5372.
Do the pediatricians usually run “on time”?Your time is just as important as ours. At West End Pediatrics we are regularly modifying our scheduling system to ensure that we run on time as much as possible. Unfortunately, in medicine there are times when something unexpected comes up. The most common cause of running behind is an extremely ill child or a medical emergency. There is no way to plan for these in our schedule. Parents can help by notifying the front desk when making an appointment of all the topics they wish to discuss with the pediatrician so the appropriate amount of time can be scheduled. Please trust that if we are running late, it is because we were providing the best care possible and that we will be doing the same for your child.
Why am I being billed if I have insurance?
Insurance is growing increasingly more complicated and confusing. Now families with the same brand of insurance will often have entirely different coverage plans and different brands of insurance will often lag behind to different degrees in the coverage of the up-to-date and evidence-based medical care we provide. Therefore, it is nearly impossible for us to know exactly what your insurance company will and will not cover at any given visit. It is not until after we submit a claim that we learn what the insurance company is willing to cover, what we must bill the patient and what we must write off. If you ever have more questions about insurance and billing please contact our business office at (804) 740-2527 or by the quicklink at the top of our home webpage.
What hospitals are you affiliated with?
We work closely with St. Mary’s Hospital, Henrico Doctors’ Hospital and the VCU Medical Center and generally admit our patients to one of these three hospitals.
Setting Up a Consult Appointment
New patients or patients possibly interested in our practice are invited to schedule a new patient consult appointment where you can meet the doctor you are interested having as your primary care provider and ask any questions you may have about the West End Pediatrics. This is not a requirement, but can be an opportunity to learn more if you aren't sure we are the right practice for you and your child. Make a consult appointment.
New patients may join our practice by scheduling the next regularly scheduled check up (as per our Check Up Schedule), or call for an appointment (804-740-6171) when needed for an illness or concern.
What to Bring to Your Appointment
Before your first appointment, please print out our Patient Registration form (0-17 yrs) / Patient Registration form (18+ yrs) and bring the completed form to the first visit. The front staff will need ALL sections of the form completed before they can check you in. In order to expedite your check-in process, you may also want to read our Notice of Privacy Practices and complete the Written Acknowledgement Form.
It is very helpful to have a copy of your medical records from the previous pediatrician on hand when you come to your first appointment including a copy of your child's immunization records. If you don't have this information, please contact your former pediatrician's office and request your records.
We participate with most major insurance companies, but always check with your insurance carrier to verify our physicians are on your insurance plan.
Congratulations! Expecting a new baby is an awesome and slightly terrifying experience. On top of everything else you are doing to prepare for your baby’s arrival, now you have to select a pediatrician. How do you select a doctor for your precious baby who you haven’t even met yet? The good news for expecting parents in Richmond is that pediatric offices are plentiful.
At West End Pediatrics, we recommend taking some time to think about what you are looking for in a pediatrician and in a pediatric medical practice. Are you looking a relationship with your pediatrician? Does it matter to you if your pediatrician knows your child? Do you have a job with the flexibility to allow you come to the pediatrician’s office during the day? If the answer to some of these questions is no, then one of the larger groups in town may offer more flexibility with late night office hours and walk-in visits.
But if the answer is yes, we recommend reading the pediatrician biographies and scheduling a free pre-natal consult where you can come to the office and meet some of our staff and the pediatrician you are considering. It is a great opportunity for expecting parents to interact and ask questions with one of our pediatricians one-on-one before deciding if West End Pediatrics is the right practice for your family.
We want you to feel like you are making the best choice when you choose one of our pediatricians to care for your baby. To schedule a free pre-natal consult with one of our pediatricians, call (804) 740-6171.
